This Privacy Policy describes how B5 Moody Enterprises, L.L.C. (“we,” “us,” or “our”) collects, uses, and protects information when you use the AI Bookkeeper application (“Application”), including its integration with Intuit QuickBooks Online (“QBO”) and other financial data sources.

1. Information We Collect

The Application accesses and processes the following categories of information solely to provide automated bookkeeping and reconciliation services:

• QuickBooks Online financial data — Chart of accounts, bank account balances, transactions, deposits, journal entries, bills, and reports from your connected QBO company.
• OAuth credentials — Access tokens and refresh tokens issued by Intuit after you authorize the Application. These are stored encrypted on a dedicated server and are never shared with third parties.
• Point-of-sale data — Sales summaries, cash drawer entries, and payment data from Toast POS, where applicable and authorized.
• Contact information — Name and email address provided when you establish an account or contact us for support.

We do not collect payment card numbers, Social Security numbers, or personal banking credentials.

2. How We Use Your Information

• Perform automated daily and monthly bookkeeping tasks on your behalf (reconciliation, journal entry posting, exception reporting).
• Authenticate and maintain your authorized connection to QuickBooks Online and other integrated services.
• Generate exception reports and alerts routed to you for human review and approval.
• Improve the reliability and accuracy of the Application.

We do not sell, rent, or share your financial data with any third party for advertising, marketing, or any purpose other than providing the Application’s core functionality.

3. Data Storage and Security

All financial data and OAuth credentials processed by the Application are:

• Stored on a dedicated, isolated server environment under the control of B5 Moody Enterprises, L.L.C.
• Encrypted at rest using industry-standard symmetric encryption (AES-256 via Fernet).
• Transmitted exclusively over TLS-encrypted connections.
• Scoped per client — no data from one client’s account is accessible to any other client’s process.
• Never stored on third-party cloud storage services or shared infrastructure.

Access to stored credentials is restricted by file-system permissions (0600) and Docker container isolation. No employee or contractor has routine access to decrypted token files.

4. Third-Party Services

The Application integrates with the following third-party platforms to deliver its services. Your use of those platforms is governed by their respective privacy policies:

• Intuit / QuickBooks Online — https://www.intuit.com/privacy/statement/
• Toast POS — https://pos.toasttab.com/privacy
• xtraCHEF by Toast — Subject to Toast’s privacy policy above.

5. Data Retention

We retain financial data and OAuth tokens only as long as necessary to provide the Application’s services or as required by applicable law. Upon termination of services, encrypted token files are deleted from our servers within 30 days. Transaction-level data used for reconciliation is not retained beyond the current accounting period unless required for audit purposes.

6. Your Rights

You may at any time:

• Revoke access — Disconnect the Application from your QBO account via the QuickBooks Online app management settings. This immediately invalidates all stored OAuth tokens.
• Request deletion — Contact us to request deletion of any data we hold related to your account.
• Request a copy — Contact us to request a summary of data processed on your behalf.

7. Children’s Privacy

The Application is a business-to-business financial tool not directed at individuals under the age of 18. We do not knowingly collect information from minors.

8. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be communicated by updating the “Last updated” date at the top of this page and, where appropriate, by direct notification to active users. Continued use of the Application after any change constitutes acceptance of the revised policy.
